Privacy policy

Imari Pro holds the information needed to run your properties: who can sign in, and the buildings, tenants, leases and payments your organisation records. We do not sell personal data, we do not use advertising trackers, and each user only sees the buildings their role allows.
01Who we are
Imari Pro is property-management software operated from Kigali, Rwanda. Property owners and their staff use it to keep records of buildings, units, tenants, leases, invoices, payments and maintenance work. In this policy, “we” means Imari Pro and “you” means anyone with an Imari Pro account or anyone who contacts us.
02Information we hold
- Account details: your name, email address and role. Passwords are stored only as a one-way hash, never in readable form.
- Profile details you choose to add, such as a phone number or address.
- Portfolio records your organisation enters: properties, units, tenants (including company names, contact people and tax IDs), leases, invoices, payments and work orders.
- Activity records: sign-ins and changes to records, with the user and the time, kept in an audit log.
- Security data: the IP address of sign-in and password-reset requests, used to limit repeated attempts.
- Demo requests: the details you send us through the “Book a demo” form.
03How we use it
- To provide the service: signing you in, showing each user the buildings they are permitted to see, and calculating balances, invoices and statements.
- To send service email: invitations, password reset codes and notifications about your account.
- To keep the service secure and to investigate misuse.
- To reply to demo and support requests.
- To meet our obligations under Rwandan law.
04Who can see it
Inside your organisation, access follows roles: owners see their own portfolio, and staff see only the buildings assigned to them. Imari Pro staff access your records only to provide support or keep the service running.
We do not sell personal data. We rely on service providers for database hosting and email delivery and share only what they need for that purpose; these providers may store data on servers outside Rwanda. We disclose information when the law requires it.
05How long we keep it
We keep account and portfolio records while your organisation uses Imari Pro. Invoices, receipts and the audit log are financial records and may need to be kept for the period the law requires. When an account is closed you can ask for a copy of your data within 30 days; after that we delete it, except for records we are legally required to keep.
06How we protect it
- Passwords are stored as salted one-way hashes.
- Sign-in, password-reset and invitation requests are rate-limited; reset codes expire after 10 minutes and invitation links after 48 hours.
- Access to records is checked against your role on every request, and changes are recorded in the audit log.
No system is perfectly secure, but we take reasonable measures to protect your information.
07Your rights
Under Rwanda’s law on the protection of personal data and privacy you may ask to access, correct or delete your personal data, or object to how it is used. You can correct most account details yourself in Settings; for anything else, email info@imaripro.com.
If your details were entered by a property owner (for example, as a tenant), that owner is responsible for them. We will pass your request on and help them respond.
08Changes to this policy
If we change this policy in a way that affects you, we will tell account holders by email or in the app before the change takes effect. See also our cookie policy and terms of service.
